Error Resolution
An appointment enters the Error state when Attendara cannot extract a valid customer identifier (an email address or phone number) from the calendar event. No notifications can be sent until the error is resolved.
Why errors occur
- The calendar event description does not contain an email address or phone number.
- The event is a personal reminder or internal meeting with no customer attached.
- The contact details are in a format Attendara's AI did not recognise.
Finding error appointments
Incomplete appointments appear in two places:
- The Action Required panel on the right side of the dashboard, tagged with an Incomplete badge.
- If you have enabled Notify about incomplete appointments in Preferences, you'll receive an email alert too.

Fixing an error — the Fix Appointment page
Click Associate on the Incomplete card to open the Fix Appointment page. It has two tabs:
Tab 1: Select Existing Customer
- Use the search field to find the customer by name, email, or phone number.
- Select the customer from the results list.
- Click Fix Appointment. The appointment is linked to that customer and moves to Pending status.
- Any notification rules that should have fired (e.g. an initial confirmation) are triggered immediately.
Tab 2: Create New Customer
- The customer's name is pre-filled if Attendara was able to extract it from the event description.
- Enter or confirm the customer's name, email address, and/or phone number.
- Click Fix Appointment. A new customer record is created, the appointment is linked, and notifications are triggered.
Preventing errors in the future
- Always include an email or phone in the event description. Even a single line like
jane@example.comis enough. - Use Custom Fields if you want to capture structured data from event descriptions. See Custom Fields.
- Mark personal events as private in your calendar — private events are ignored by Attendara entirely.
Ignoring an error appointment
If an incomplete card doesn't correspond to a real customer appointment — for example, a team meeting you forgot to mark as private — you can remove it from Attendara without affecting the original calendar event.
- Click Associate on the Incomplete card to open the Fix Appointment page.
- Click the Delete Appointment button.
- The appointment is removed from Attendara. The calendar event remains unchanged.
